What is an AGM?
In simple terms, an AGM (Annual General Meeting) for a UK voluntary organisation is a formal yearly meeting for all its members. It’s a key opportunity for the organisation’s leaders (the trustees or committee) to report on the past year’s activities and finances, and for the members to have their say, ask questions, and make important decisions.
Key Purposes of an AGM:
- Accountability and Reporting: The trustees/committee present an annual report and the financial accounts for the previous year, explaining how the organisation was managed and how funds were spent.
- Member Engagement: It allows members to review the organisation’s performance, ask questions of the committee, and provide feedback on its future direction.
- Elections: Members vote to elect or re-elect the committee members for the coming year.
- Major Decisions: Important decisions, such as changes to the organisation’s governing document (constitution) or major policies, are voted on by the members, often requiring a specific majority.
- Formal Requirements: Holding an AGM is a Swim England requirement specified in their governing document, and following the correct procedures is crucial for legal compliance.
What happens at our AGM:
- Review of Minutes: The minutes from the previous AGM are approved.
- Reports: The Chair and Treasurer present their reports.
- Appointment of Examiners: An independent examiner or auditor is appointed for the next year’s accounts.
- Voting: Members vote on resolutions and elections.
- Any Other Business (AOB): A short time is usually allocated for other general issues to be raised.
In essence, the AGM is a vital part of our voluntary organisation’s calendar, ensuring transparency, inclusion of our members and ensures proper governance.
